At Kisimul, our People Team sits at the heart of the organisation and our HR Shared Services team is the engine that keeps everything running smoothly. As an HR Shared Services Administrator, you’ll often be the first point of contact for colleagues, managers, and senior leaders, playing a vital role in delivering a professional, responsive, and people-centred HR service.

The Role
You’ll take ownership of a wide range of HR administrative processes, ensuring accuracy, consistency, and compliance while supporting the wider People Team and organisational objectives.
Key responsibilities include:
- Managing the HR Shared Services inbox, responding to queries and escalating where appropriate
- Processing return to work forms and fit notes, ensuring accurate system updates and timely communication with Payroll in line with cut-off dates
- Liaising with managers to obtain outstanding absence documentation
- Maintaining accurate absence records on HR systems
- Owning and managing the probationary review process, including probation reviews and annual Performance Development Reviews (PDRs)
- Collating and distributing probation data, producing monthly reports, and following up on outstanding reviews or extensions
- Managing job role risk assessment data across Lincolnshire provisions and tracking completion for new starters
- Supporting contract variations following probation completion or training, updating HR systems, notifying Payroll, and issuing variation letters
- Taking ownership of the leavers process, including resignation acceptance, notice periods, system updates, and communication with relevant departments
- Maintaining and archiving employee files in line with GDPR and company policy
- Processing employment reference requests for current and former employees, ensuring appropriate consent is obtained
- Supporting and coordinating onboarding processes, ensuring a positive and compliant new starter experience
- Assisting with visa and immigration administration, ensuring right-to-work compliance and accurate record-keeping
